O3Spaces Workplace is a Web 2.0 Document Management & Collaboration Solution for OpenOffice.org, StarOffice and MS Office users.

You can visit the Workplace with most web 2.0 browsers, but the Workplace might possibly not perform or function correctly.
Are there different editions of O3Spaces Workplace?
Yes there are. Currently we offer three different editions:
- The Community Edition
- The Professional Edition
- The Enterprise Edition
- The On-demand Edition
What is the difference between the different Editions?
The difference lies in the fact that the Enterprise Edition, the Professional Edition and On-demand Edition are specially intended for use in a professional setting with support incorporated. The Community Edition is intended for testing and personal use. The O3Spaces Workplace Community Edition is delivered 'as is' and without any warranties or support and is not intended for nor particularly suited for use in production environments. Some enterpise modules are not available the Community Edition and Professional Edition. What do you mean by an 'On-demand Edition?
The O3Spaces Workplace On Demand Edition is a hosted. This means that the O3Spaces Workplace application and the data are stored on and run from a hosted server. To use this version you don't have to install anything yourself (unless you want to use the Workplace Assistant or a plug-in), the only thing you need is a browser with internet connection.
Is there a free edition of O3Spaces Workplace?
Yes, this is the so-called Community Edition. You can download the latest version of the Community Edition from our Community website (community.o3spaces.com/downloads/) free of charge (no registration needed). The number of users of this edition is restricted to 10.
The O3Spaces Workplace Community Edition is delivered 'as is' and without any warranties or support and is not intended for nor particularly suited for use in production environments.

I want to use the Community Edition with more than 10 users, what should I do?
In this case we advise you to switch to the Professional Edition because that edition is specially intended for use in a production environment. If you not only want to use it with above 10 users but also are interested in some special enterprise features the Enterprise Edition would be the right choice.
I want to use O3Spaces Workplace for my company, what should I do?

What do I have to download to try O3Spaces Workplace?
This depends on your intention with O3Spaces Workplace. If you consider purchasing O3Spaces Workplace and want to try it in a professional setting, please apply for the Enterprise trial. You will be able to download the Enterprise Trial after approval by O3Spaces.
If you just want to test O3Spaces Workplace download the Community Edition suited to your Operating System. The O3Spaces Workplace Community Edition is delivered 'as is' and without any warranties or support and is not intended for nor particularly suited for use in production environments.
How much end-user components does O3Spaces Workplace have?
It consists of three components:

In order to provide some insight in the numerous configuration options that are available when deploying the Workplace, these are the main components of the O3Spaces Workplace server:

What is the Workplace Assistant?
The Workplace Assistant is an optional component (but recommended for optimal document handling), it is a java application that runs on your computer. When it is active it is displayed in your system tray. The O3Spaces Workplace Assistant provides real-time notification on all relevant changes in your workspaces. Furthermore, the assistant automates all necessary document retention and versioning activities when you work on your documents. It provides easy navigation to your workspaces, allows for off-line work and offers direct control on your locked files.
What are the system requirements running the Workplace Assistant?
The Workplace Assistant uses Java Web Start to startup an assistant.jnlp file.
Java Runtime Environment 1.5 or higher must be installed and Java must be configured correctly in your browser . Starting the Workplace Assistant from your browser without Java JRE installed must show an alert window to notify you to install Java JRE.

Isn't it difficult to install al these different end-user components?
No it is not difficult because they are put together in one installation package. This packages installs the O3Spaces Server. The other two components can be installed out of the browser environment of your O3Spaces Workplace.
What do you mean by Desktop Integration?
We developed the Workplace Assistant a file explorer that makes it possible to access your documents on the Workplace in a similar way as in a normal file explorer. With the Workplace Assistant you are able to drag and drop files directly to you Workspace from your desktop.
For which Office suites does O3Spaces Workplace deliver a plug-in?
Currently we deliver plug-ins for:OpenOffice.org 2.2 or newer, StarOffice 8, MS Office XP, 2003 and 2007.
Is there also a MS Office 2000 plug-in available?
A Workplace plug-in is not available for MS Office 2000 but MS Office 2000 is currently supported with real-time locking and versioning, when opening documents from the Workplace Browser UI, but lack the Menu-entries.
What are the system requirements installing the OpenOffice.org or StarOffice plug-in?
Installing and using the Workplace plug-in OpenOffice.org / Star Office requires a supported version of OpenOffice.org /Star Office installed. Supported OpenOffice.org / Star Office versions:
- OpenOffice.org 2.2 or newer (Ubuntu requires Ooo 2.2 installed)
- StarOffice 8 product update 5 or newer
- JRE 1.5.X.X or newer enabled in OpenOffice.org / StarOffice.

What are the system requirements installing the MS Office plug-in?
Installing and using the Workplace plug-in MS Office requires a supported version of MS Office and additional software installed:
- The O3Spaces Workplace MS Office plug-in is compatible with MS Office XP, 2003 and 2007.
- MS Office 2000 is currently supported with real-time locking and versioning, when opening documents from the Workplace Browser UI, but lack the Menu-entries.
- The plug-in requires Microsoft .Net Framework 2.0 to be installed on the desktop computer
- Installation generally requires local administrative permissions. Contact your system administrator if installation fails.
How does O3Spaces Workplace ensure document security?
Document security is of paramount importance for any organization. The O3Spaces Workplace provides document security on different levels: 1.Document security - Access control
The Workplace allows you to control access to information through the integrated roles and rights management system. From Workspace-level access control to setting the permissions on a folder, you can enforce to what extent your documents can be accessed.
2.Document security - Secure Connections
When your mobile workforce accesses documents on the road or from your client's premises, you want to be ensured no information gets lost, or otherwise exposed or accessed along the way. The Workplace can operate on encrypted (https) connections or if so desired in a vpn scheme, thus ensuring that your information is safe on its journey along the digital highway.
How much time does it costs to learn to work with O3Spaces Workplace?
Thanks to its end-user friendliness, O3Spaces Workplace is very easy to learn. Research of a big education organization has shown that little training time is needed for the typical user. Furthermore, the community forum delivers all kind of documentation that can help you getting used to the software.
Is the implementation and configuration time of O3Spaces Workplace as time consuming as for the other IT systems in our organization?
For most IT applications the implementation and configuration takes multiple weeks. Thanks to the end-user approach of O3Spaces it only takes days to build and adjust the application.
In which languages is O3Spaces Workplace available?
O3Spaces supports multiple interface languages (English, Dutch, French, German, Japanese, Russian, Spanish, Swedish and Polish) and new localizations can be added easily.
What's the difference between the Studio and Spaces environment?
The Studio environment is the administrator environment of O3Spaces Workplace, here access rights can be set, new Workspaces and users added, and more. The Spaces environment is the place where the actual 'document management' takes place. It's the end-user environment, users can upload there documents and look at documents of others.
