I want a new workspace, how to arrange this?New workspace can be added from the 'Workspace overview program'.
I want to upload multiple files at the same time, how can I do this?
There are multiple options to upload multiple files at the same time:
- Use the ZIP import or folder-import option in the Files-import module of the administrator Studio environment.
- In the Workplace Assistant application window it is possible to drag & drop upload multiple files at the same time.
- In the Spaces environment you can start a new upload while another upload is running.
- Set up a WebDAV connection to the Workplace fileserver.
How can I see which files are locked and how can I unlock them?
Open the online! Workplace Assistant menu and select the option 'Manage files > Manage locked files...' Select a (locked) file in the list and decide from the menu on the right what you want to do with it:Publish local file, Discard local changes or Open file.
How can I see what my permissions are on a file?
1.Open the properties window of the folder the file is located in and select the tab 'role assignment'.
2. Select your own entity or a team or unit you are placed in. The column 'Role' shows the role you have on this folder with associated permissions.
I have the administrator role, how can I invite new members for a Workspace?
Inviting new members is very easy in the Spaces environment. Open the Workspace you want to invite members to. Click the tab 'Members' and put the e-mail address of the person you want to invite in the textbox in the 'Invite' box.
The Workplace Assistant icon is missing in my (Windows Vista) system tray, but my system indicates it is still running
Right-click on the date icon, choose change notification icons. A dialog will appear choosing all icons in your system tray and their behaviour. Select the correct behaviour for the Workplace Assistant and choose 'Ok'.

I want to add a workspace, how to arrange this?

I want to change the role of a user, how to arrange this?
In the Studio environment click the 'Workspace' tab and choose the option 'Manage'. Choose the workspace the user is a member of. Right click on the workspace and choose the option 'Roles'. Click the option 'edit'. In the 'edit roles' dialog select the user you want to change and change his or her role.
I want to make a new role, how to arrange this?
- Add a new role and define it's permissions.
- Edit every other existing roles that must be allowed to assign this new role. In the permissions tree check the 'allow' check box behind the new role. Save the changes.
I want to set up anonymous access for a certain document, how to arrange this? The procedure to set anonymous access is as follows:
- Open the properties dialog of a workspace or a specific workspace-folder and select the tab 'Role assignment'.
- Click 'Edit' in the role-assignment overview toolbar
- Click in the new opened 'role assignment' dialog on the toggle button 'Show Search Options'
- Check in the toggle window the option: 'Always show system entities' and click the button 'Search' in the search options toggle window.
- Select in the Search Result section the new appeared system entity 'Anonymous user'.
- Click the button 'Add selection' and in the 'Role assignment' list select the 'Anonymous user' entity.
- In the dropdown list for the role select the role 'guest' (or another defined role). Select another role if other permissions are desired
- Click 'OK' on the bottom of the dialog
I lost my supervisor password, how can I get a new password?
If you are using the Professional or Enterprise edition please contact our support team and they will help you out.
If you use the Community Edition you can try to reset the supervisor password in the embedded derby database but this action will not be supported by O3Spaces.
The new password can be entered in the table 'wis_users' in the column 'wu_password'. The password is stored as a md5. For example:
You have to enter the new password as a md5 in the wu_password column.

How do I install the community edition of O3Spaces Workplace?Installing O3Spaces Workplace is very straightforward. Just select one of the available distributions:
- A Windows Installer.

Download it and run the installer.
How do I install the Workplace Assistant?
To install the Workplace Assistant, visit the browser environment of O3Spaces Workplace and click on the Workplace Assistant button in the right upper side of your screen. A Java program will start that will guide you through the installation of the Workplace Assistant.
How do I install the Office plug-ins?
The installation of the Office plug-ins is part of the installation of the Workplace Assistant. In the wizard choose the plug-ins you want to install. If you already installed the Workplace Assistant, you can install the Office plug-ins in the configuration menu of the Workplace Assistant.
I cannot install the Workplace Assistant. What to do?
1.Check the Java Runtime Environment currently installed on your PC. (Online at http://www.java.com/en/download/installed.jsp )
2.a. If Java Runtime Environment 1.5 or greater is not installed on your PC, download and
install a recent Java JRE (http://java.com/download)
b. If Java Runtime Environment 1.5 or greater is installed, your PC may not have detected it. In that case try to start the Workplace Assistant via the URL:
http://workplace.address.com/assistant.jnlp so change /Spaces to /assistant.jnlp
I want to make my Workplace accessible from other computers in my network. What to do?
To make it accessible from other computers you should make some adjustments to your server.xml.
- First determine the IP address of the computer where the Workplace is installed on. (For instance by running the command prompt and typing 'ipconfig'. Remember the IP address shown.
- Stop the tomcatserver on which the workplace is running and open the 'server.xml' (stored in {TomcatBasePath}/conf).
- Change the connector address from 'localhost' to yourIP and save server.xml.
- Restart the tomcatserver.
- Ensure that the port on which the Workplace is running is not blocked by the firewall of your server (this can be arranged by adding the port to the Exceptions list of your firewall).
I want to configure BitKinex with O3Spaces, what to do? In BitKinex there are a couple of things you have to do.
- The Webdavurl you should use is: {workplaceurl}/webdav
- In BitKinex go to WebDAV on localhost Properties and ensure that the checkbox before 'Resume downloads' is not checked.
- Set the Multi-part download size to 0 (see screenshot)
I want to configure mail in Debian 4, do you have some suggestions?
Some notes that could help to configure e-mail in DEBIAN 4:
- Add the domains of the e-mails you want people to receive notification in file /var/qmail/control/rcpthosts
- Restart QMAIL as the mail server as root:
- Check o3spaces ROOT.xml file to be configured propertly. Add the parameters of the current host you're working on:
- Check if the email server requires authentication. In this case configure username and password from the mail server you are working on.

Sometimes when I open a document in OpenOffice.org after opening my notebook, I get an error message saying: "com.sun.star.lang.DisposedException: TransactionManager...". How can I solve this?This is an OpenOffice.org issue. When your notebook 'recovers' from standby windows deletes the files in your temp folder and thus the OpenOffice.org files that are temporary stored in that folder. A work around is to open OpenOffice.org and goto Tools>Options>Paths.
Over there change the location of your temporary files storage and your problem should be solved.
LDAP synchronization and maximum number of users
If the number of users in the LDAP tree exceeds the maximum number of Workplace user accounts in the Workplace license the synchronization operation will only succeed for the permitted number of users.
Errors will be posted in the log files. If on a re-synchronization existing users need to be replaced by new ones it is possible the maximum number of users is reached before the synchronization is finished, even if the desired end-result fits the maximum number of users.
If you are a customer your O3Spaces vendor can supply a solution.
When I try to upload a Keynote (.key) file it is stored as a folder.
On uploading a keynote file (.key) -or an application file (.app)- from Mac OS X to the Workplace, it will be recognized as a folder. Due to this issue it is not possible to upload a keynote file from the Spaces environment and on uploading using the Workplace Assistant the keynote file will be uploaded as a folder with the embedded keynote files as separate files in this folder.
This is a general Apple Keynote file issue: "...You can generally save Keynote documents only to computers and servers that use Mac OS X. Keynote is not compatible with … Windows servers running Services for Macintosh. ...".

A described workaround from the Apple website is to compress the file first before uploading.
Word crashed when I tried to edit a just pasted OLE object
Using embedded Microsoft Office Excel Worksheet Objects (OLE objects) in Microsoft-Word documents doesn't function well if the Workplace plug-in is installed in Microsoft Office.
Word and / or Excel will crash if a just pasted OLE object is edited (double clicked) in Word. This is an issue in Office 2003 and 2007. A possible workaround in Office 2003:
- After pasting the OLE object in Word first close Excel. (make sure no EXCEL.EXE process is running).
- If Excel is closed you can double click the OLE object in Word without problems.
- After pasting the OLE object in Word first save and close the Word document
- After opening the Word document again you can double click the OLE object without problems.
This is a known issue for default deployments of Apache Tomcat 6 with the Workplace server running in the root (http://URL/Spaces, NOT http://URL/alias/Spaces). A Workaround is to delete the tomcat /docs directory.
