What's Document Management

Document Management helps you to control the flow of (digital) documents through your organization. It helps you to control their lifecycle - how they are created, reviewed, published, utilized, and ultimately deleted or retained.

A Document Management system generally speaking consists of a repository and a web based browser environment to approach this repository. In the repository all documents are stored together with their characteristics.

Most Document management Systems include:

  • Automated document versioning
  • Check-in / check-out mechanisms
  • A Search function in the web based browser environment.

  • Electronic calendars - schedule workspace events
  • Possibility to comment on documents
  • Discussion pages

Benefits of using document management

  • Efficiency improvement: Information is available, always. Thanks to the search functionalities of most document management systems you will save time and money.
  • Better support of workprocesses: The documents are available for everyone in the organization, at any time and place.
    - Ensures that the same information is only stored at one place in your company
  • Safe storage of documents: It is easier to backup the documents in the repository of the document management system.
  • Protection of your documents: It is possible to give some persons access to documents and others not.
  • More flexibility: You don't have to store all your documents on your local pc, a connection to the internet is enough to access your documents from any place.
